Help & Guidance
How do I submit a Finance request? +
Use Submit Finance Request above. Pick the request type, describe the need, and attach supporting files. The request creates a tracked list item, notifies Finance, and you'll receive status updates automatically — including reminders if additional information is needed.
What attachments are required? +
New vendors: W-9 (and W-2 where applicable). Pricing requests: RFP/RFQ excerpt with labor categories and due dates. Costpoint tickets: a screenshot of the issue plus the affected employee(s) and time period. Wires: approved invoice and banking verification.
Who sees my request? +
You see your own submissions. The Finance team sees the full queue. Sensitive responses (pricing detail, banking data) live in Finance-only fields protected by permissions.
When are Costpoint timesheets due? +
On the deadline Finance sets in Costpoint — the Costpoint guides panel shows it (today: the last day of each pay period). The Costpoint how-to guides on the HR page walk through entry, corrections and approvals; a Costpoint Ticket gets Finance’s help.

Reading the shared tracker…
The intake collects the full field set once — position, labor category, department, PMO manager, rate, classification, location, customer, contract and sub task, project number, Costpoint organization, charge code, clearance and benefits category. The offer letter, the Form I‑9 clock and the Costpoint upload template all read from that one record, so nothing is typed twice. Flow on a row walks the record through Danie’s sequence: offer letter from a Word template → sent from the intranet → signed copy filed → onboarding welcome email with a personal link → policies read and acknowledged on the portal → UKG forms → HR file. What this does not do: collect an electronic signature on the offer (the signed letter comes back by email and is uploaded), or write to Costpoint — the e‑signature provider and the Costpoint service account are named on the Build Checklist. Sending needs the Microsoft 365 mail row switched on; until then the flow creates the letter and the onboarding link for you to send from Outlook.

The employer deadline is the third business day after the first day of work for pay, calculated from the start date — weekends excluded. Federal holidays are not modelled, so treat a deadline that lands beside one as a day early. Reverification is driven by the expiry of the work‑authorisation document on file, and most documents do not expire — when none is entered the register says not required rather than inventing a date.
Employee record categories
Medical, accommodation, I‑9, investigation and security records sit in separate libraries with their own permissions — never in the general personnel file. Reading the policy library…
How it works: HR posts a policy with its PDF or Word file and says who it applies to — everyone, or by department, customer, title or full/part‑time. Employees read the text on this page to the end and sign with their typed name; the acknowledgment is recorded with the version, date and time, and a signed PDF lands in their HR folder. A new version restarts acknowledgments and keeps the earlier ones. HR sees who is outstanding per policy and emails reminders from the company mailbox. New hires acknowledge the same way from their onboarding link.

Deployment Operations
Every board TJFACT runs in Monday.com, rebuilt here to the exact columns, label sets and groups in PMO’s schema export — visas, the employee roster, the 27-gate deployment checklist, ordered-departure posture, R&R and TDY travel, and staffing fill. One employee master behind all seven, calculated columns that recalculate, and one alert engine watching every expiring document at 90 / 60 / 30 days.
deployment rollupWhere the task order stands
counted from the boards below · nothing estimatedExpiring documents
| Who / what | Date | Countdown | Band |
|---|
DT‑IT 2063 Visa Status
90 days to Visa Exp and Processing Days calculate on every row — expiration minus 90, and approved minus submitted. Neither can be typed in, which is what PMO asked for.
Employee Contact Information
Work Location is the single site field — PMO flagged that the Monday group duplicated it, so grouping reads from the field and “Former Employees” is a record state rather than a place. Badge, LOA, passport, medical, blood draw, Iraqi local-national documentation and security-training dates all feed the alert engine above; the last five are new columns, added because the requirements doc asks for alerts on them and no board carries them today.
Ordered Departure Tier Status
Two columns on the Monday board are both called Location; at PMO’s request they are Post Location and Safe Haven Location here, and Hotel is split into a name and stay dates. Safe haven, hotel, flight, hour and home-of-record arrival are movement detail for cleared personnel — they stay masked permanently — that is controlled information, and keeping it off this portal is how TJFACT stays out of CMMC scope. + Add record · Import · Export
travelR&R and TDY
same approval chain · Govt → Itinerary → Tickets → EA → GroundTDY days = return minus depart, so a same-day trip is 0. Kept as its own board rather than folded into R&R with a trip type, because the column sets genuinely differ — R&R carries hire date, holiday, travel and LWOP counts that TDY has no use for. The shared approval chain is shared code.
Staffing
Days Vacant did not exist in Monday and PMO asked for it: it counts to the fill date, or to today while the seat is still open. The record title is a controlled labour category rather than free text, also at PMO’s request — the list holds every title that appears in your exports and nothing invented.

|---|
1. Open the board. 2. Top-right … menu → Export board to Excel.
3. Open the file, select everything (Ctrl/Cmd A), copy. 4. Press Import on the board here and paste.
Nothing is written until you press Import, and the preview tells you exactly what it found first.
The paste is expected to be messy and is handled: the board title Monday puts on the first line, the header repeated under every group, the group names as their own rows, tab- or comma-separated, and a BOM. Groups are read from those section rows, so a record lands in the group it was in. Dates in M/D/YY, M/D/YYYY and ISO all convert. A leading zero on a badge number or a VAL survives, because every field is stored as text. Monday’s own calculated columns are not imported — 90 days to Visa Exp, Processing Days, R&R Days, TDY Days, Days Vacant — the portal recomputes those, so a copied value would only go stale. A multi-person PM cell maps onto the right coordinator.
Paste the wrong board and it says so rather than importing a page of blanks. Anything it cannot map is listed by name so you can tell us what it should become.

The TJFACT logo
TJFACT’s logo from the staff email signature, redrawn as vector artwork that stays sharp at any size. Send the SVG or PDF to printers and sign makers, use the PNG on screens, and the one-colour versions for single-colour printing, engraving or a dark background.

ISO 9001:2015 and SDVOSB marks
The two marks in every staff signature. They sit together, after the logo, at the foot of letters and on closing slides.
Using them
- Keep clear space around the logo at least the height of its letters.
- Smallest size: 1 inch wide in print, 120 pixels on screen.
- Never stretch, recolour, rotate, outline or shadow it, or set it on a busy photo.
- On a dark background, use the one-colour white logo, or put the colour logo on a white panel — its right block is black.
- Use the brand name as TJFACT (all capitals) and the legal name as TJFACT, LLC.

Every template uses Cambria for headings and Calibri for text because both come with Microsoft Office, so a document looks the same on every TJFACT computer.

How this portal works
Every instruction, six short films, and Dash — who is taught from this same page and knows what is connected right now. Search it, watch it, or just ask.
RIGHT NOWWhat the portal is connected to
Checking…
Read live from the portal, not from a document — so this strip is right even on the day something changes. Dash is given the same lines before it answers you.
ASKDash knows all of this
Answers inside your own permissionsDash is taught from every instruction on this page and is told what is connected before each answer. It answers about the departments your role covers; for the others it names who to ask. Never paste controlled information (CUI) into the chat — it does not belong on this portal.
TUTORIALSRecorded, captioned, yours to keep

Build Checklist
Start here. A handful of people each have one thing to do, and every card below says who, what, and how — with a short video where one exists. The full technical checklist is one click further down for anyone who wants the detail.

Reading the configuration…
Every UKG call the portal makes runs on Brandon Kelly’s service account — the tenant ID, both access keys and the service-account password all belong to it, and UKG issues the User API Key against that one user. Anything TJFACT enables next has to be granted to that same account, or UKG answers user authentication failed rather than saying why. So every card below is Brandon’s, and where somebody else has to decide first, the step says who.
Each card is one job for one person. Done means the portal can see the result; nothing here is ticked by hand. Videos and guides open in a new tab and were checked to exist — they are other people's tutorials, so the screens may look a little different from TJFACT's.

Press Ask Microsoft.
Delegated and Application permissions are different things. Delegated works only while a person is signed in and is what makes sign-in itself work. Everything the portal does on its own — sending company mail, reading the shared calendar, listing SharePoint libraries, drawing the org chart — needs the same permission granted as Application, with admin consent. Only Application permissions appear in the table above.
Role sign-in verification
Reading the recorded tests…
Sign in as a test account, come back, press Record. The portal compares the roles the server returned against what that account should have — the All Staff account passes only when it comes back with no roles, since a role map that hands everyone everything would otherwise look like a pass. The eight passwords arrived by email in plain text: rotate them before enforcement goes on, and the accounts should be disabled once testing is done.

Roles & permissions
The named Finance and HR lists that used to live here became roles. Modules, roles and assignments are all on the admin dashboard now, which only super admins can open.
0B — Controlled informationThe portal is out of CUI scope, by design
No CUI, CMMC-controlled, export-controlled or classified material — ever, under any settingHow the rule is enforced
This is the compliance posture: the portal carries FCI and internal business data, and controlled information stays in the systems already inside TJFACT’s SSP boundary. Nothing here is waiting on a determination — there is no setting that turns CUI on. If a marked document is found in a library the portal reads, the block is the system working; tell IT security if you believe a marking is wrong.

No CUI, classified, or export-controlled material — controlled information never comes onto this portal, and anything marked is detected, withheld and logged. Public and internal business documents only.

Leave the date blank and the announcement stays until someone removes it. Dated notices take themselves down, so the home page never advertises an event that already happened.
